Using AI responsibly in a mortgage broking business
AI can help brokers save time, improve structure and prepare clearer communication. But it must be used carefully. Client privacy, file quality, compliance obligations and broker judgment still matter.
The principle
AI can assist. It should not replace the broker.
AI tools can be useful for drafting, summarising, structuring and brainstorming. They should not make credit recommendations, replace responsible lending analysis, replace Best Interests Duty consideration, or become the source of truth for lender policy or client suitability.
The broker remains responsible for the work, the advice process, the client communication and the quality of the file.
Useful ways brokers may use AI
Drafting client emails in plain English.
Turning rough notes into clearer file notes.
Creating first drafts of process checklists.
Preparing social media content ideas.
Summarising general policy concepts for further checking.
Creating education material for clients.
Preparing meeting agendas or follow-up lists.

What not to put into public AI tools
Do not enter confidential or personally identifiable client information into AI tools unless you are satisfied the tool, settings, consent position and business policy allow it.
Avoid entering:
- Full client names
- Dates of birth
- Addresses
- Phone numbers
- Email addresses
- Tax file numbers
- Bank statements
- Payslips
- Credit reports
- Account numbers
- Loan application documents
- Health, hardship or sensitive personal information
- Full lender application details that identify a client
De-identify before you ask
Where AI is used to help draft or structure something, remove client identifiers first. Use general descriptions such as “client”, “borrower”, “applicant one” or “self-employed applicant” instead of personal details.
Quality control
Always check the output
AI can be confident and wrong. It may misunderstand the scenario, invent details, miss a compliance issue or produce wording that sounds polished but does not accurately reflect the file.
Before using AI-generated content, check:
- Is it factually accurate?
- Does it reflect the client’s actual circumstances?
- Is it consistent with the evidence on file?
- Is it written in a way the client can understand?
- Does it avoid promises or guarantees?
- Is it suitable for the intended audience?
- Has lender policy been checked against the lender’s current source?
AI and client communication
AI can help improve the clarity of client communication, but the broker should review the final message before sending it.
Use AI to make communication clearer, not to make it sound more certain than it should be.
Avoid:
- Guaranteeing approval.
- Giving tax or financial advice outside your role.
- Presenting general information as personal advice.
- Sending content that does not match the client’s actual circumstances.
- Using AI-generated policy commentary without checking it.
AI and file notes
AI can help turn rough notes into clearer wording, but file notes must remain accurate. Do not let AI add facts, assumptions or reasoning that did not occur.
A good AI-assisted file note should:
- Be based on actual client discussions.
- Reflect the evidence collected.
- Distinguish fact from assumption.
- Record the broker’s reasoning.
- Be reviewed before being saved to the file.
A simple responsible AI checklist
- I have removed client identifiers where appropriate.
- I have not uploaded sensitive documents unless approved by policy.
- I have checked the output for accuracy.
- I have confirmed lender policy from an authoritative source.
- I have reviewed the final wording before using it.
- I have not allowed AI to make the recommendation.
- I have kept appropriate records of my own reasoning.
- I have followed my licence, aggregator and business AI policy.
Suggested internal rule
Use AI to assist with structure, clarity and efficiency. Do not use AI as the decision-maker, the compliance authority or the source of truth.
